"How much is it?" is the first question every school owner asks about school management software, and it's the hardest one to get a straight answer to. Some vendors quote per student, some quote a flat fee, some want a one-off payment for a custom portal, and almost all of them leave something out of the first quote.

This guide explains how school software is priced in Nigeria, what affects the price, the extra costs that catch schools out, and a simple way to compare quotes so you know what you will really pay each term.

The four ways school software is priced

1. Per student, per term

This is the most common model today. You pay a fixed amount for every enrolled student, every term. A school with 120 students pays for 120. If enrolment grows to 300, the bill grows with it.

Why schools like it: it's fair to small schools, it's easy to budget because it follows your enrolment, and you can usually add the cost to your fees structure as a small per-child charge.

What to check: whether the rate covers every feature or only a basic package, and whether the vendor counts students you have withdrawn or graduated.

2. Flat termly or yearly licence

You pay one amount per term or per year regardless of size, often in tiers such as "up to 200 students" and "up to 500 students".

Why schools like it: one predictable number.

What to check: what happens when you cross a tier, and whether the licence includes support and updates or charges for them separately.

3. One-off purchase or custom build

A developer builds a portal or "school website with result checker" for a one-time fee, then charges yearly for hosting and maintenance.

Why schools like it: it feels like you own it.

What to check: who fixes it when it breaks, who pays for hosting and the domain every year, whether it works on phones, and what happens if the developer moves on. Many schools end up paying again to rebuild.

4. "Free" for the school, paid by parents

Some portals cost the school little or nothing, and make their money from parents: result checker scratch cards, PINs or per-term portal charges.

What to check: how parents will feel paying to see their own child's result, and whether the "free" version includes the features you actually need, such as fees and attendance.

What pushes the price up or down

  • Number of students. The biggest factor in almost every model.
  • Modules included. Some vendors sell results, fees, attendance and parent access as separate add-ons.
  • Mobile apps. A real app for parents and teachers usually costs the vendor more to build and maintain than a website login.
  • Onboarding and training. Some vendors include setup. Others charge for every training session.
  • Support. Phone or WhatsApp support during result season is worth paying for. Find out if it's included.
  • Customisation. Your own report card design or a branded website can add a one-off charge.

Typical prices in Nigeria

Published prices vary a lot and change often, so treat these as a rough guide and always ask for a written quote. Per-student prices that Nigerian vendors publish range from a few hundred naira to around ₦2,500 per student per term. Flat yearly licences and custom-built portals can run into hundreds of thousands, or millions, of naira before hosting and maintenance.

The headline rate is only part of the story. Two products with the same per-student price can cost very different amounts once you add the extras.

The hidden costs to ask about

Before you sign anything, ask each vendor about these:

  • Setup or onboarding fee. A one-off charge to "activate" the school.
  • Data entry. Will you have to type in every student, or can you upload your existing list?
  • Training fees. Per session, per staff member, or included?
  • SMS units. Many systems charge separately for every text message sent to parents.
  • Result checker cards or PINs. If parents pay to view results, that's a cost to your families even if it isn't on your invoice.
  • Payment gateway charges. If parents pay online, someone pays the transaction fee.
  • Per-module add-ons. Is CBT, attendance or the parent app extra?
  • Price increases at renewal. Is the rate fixed, and for how long?
  • Hardware. Do you need biometric devices, card printers or a computer lab?
  • Contract length. Can you leave after a term if it doesn't work for you?

How to work out what you will really pay

Use the same simple sum for every quote:

Real cost per term = (price per student × number of students) + (one-off fees ÷ number of terms you expect to use it) + extras per term

Then divide by your number of students to get a real cost per child. That single number makes quotes easy to compare, and it tells you exactly how much to add to each child's fees if you want to pass the cost on.

Example: a school with 250 students

On Scholaris at ₦450 per student per term:

  • 250 students × ₦450 = ₦112,500 per term
  • No setup fee, no contract, every module included
  • No extras for parents to pay, so ₦450 is the real cost per child

That puts Scholaris at the lower end of the range above, with nothing held back for a "premium" plan.

Now compare that to what the school already handles each term. If 250 students pay an average of ₦150,000 each, the school expects ₦37.5 million a term. Collecting just 1% more of that on time is ₦375,000, more than three times the cost of the software. That's before counting the hours your bursar and teachers stop spending on spreadsheets and broadsheets.

The cost of not having software

The real comparison isn't "software vs free". It's software vs what you are already paying in other ways:

  • Fees that go uncollected because nobody followed up
  • Staff overtime at the end of every term to compute results
  • Printing and reprinting report cards when there's a mistake
  • Parents' calls and visits that take staff away from their work
  • Records lost when a laptop dies or a staff member leaves

8 questions to ask every vendor

  1. What exactly does the price include, and what costs extra?
  2. Is there a setup, training or onboarding fee?
  3. Can I upload my existing student list instead of typing it?
  4. Do parents pay anything to see results or fees?
  5. Is there a mobile app for parents and teachers, or only a website?
  6. What support do I get during result season?
  7. Can I try it with my own school before I pay?
  8. Is there a contract, and can I leave if it isn't working?

Where Scholaris fits

Scholaris is built to make this decision easy:

  • One simple price: ₦450 per student per term in Nigeria (around $0.50 per student for schools in other countries). You pay for the students you have, nothing more.
  • Everything included: fees and finance, results and report cards, attendance, CBT, parent app, school feed, lesson plans and more than 20 modules in total.
  • Tools that help you collect fees: a daily Who to Call list of the families to follow up first, payment claims so parents can report a transfer for the bursar to confirm, and scholarships and discounts that adjust a student's fee automatically. These come with the same price, not as add-ons.
  • No setup fee, no contract, no hidden fees. You can stop at the end of any term.
  • Parents pay nothing to see their child's results, attendance or fees.
  • Bring your spreadsheet: upload your existing Excel or CSV student list instead of retyping it.
  • Android and iOS apps for owners, staff, parents and students, in English, French and Arabic.
  • Larger schools: schools with more than 300 students can talk to us about lower rates, dedicated onboarding and priority support.
Three Scholaris screens: a class result list with averages and positions, a student's report sheet, and the parent home screen

Results, report sheets and the parent app are all part of the same price.

Try it before you pay anything

The best way to judge any school software is to put your own school on it. Scholaris has a 30-day free trial with every feature unlocked and no card required.
